Executive Summary

Investigation into 732 BNS parts showing "Not in DIS" revealed:

FINAL CONCLUSION: This is EXPECTED BEHAVIOR, NOT a bug or data quality issue

  1. The DIS integration is working correctly
  2. ~50% of catalog parts not in dealer inventory is NORMAL - dealers don't stock every part
  3. The data came from Clinton Tractor's photo team - they labeled these as B&S parts
  4. Only 6 parts have actual photos - the rest were bulk-imported from a catalog
  5. NO changes to part numbers should be made - the source data is authoritative

Key Insight

The parts were photographed/cataloged by Clinton Tractor's team and placed in the BNS folder structure. If CT's team says these are B&S parts, that should be trusted. The "Not in DIS" status simply means the dealer doesn't carry them in their inventory system.

Investigation Process & Initial Assumptions (CORRECTED)

Initial Hypothesis (WRONG)

At first, I assumed that 732 "Not in DIS" parts indicated a data quality problem:

  • 77 parts with unusual formats (XX.XXXX, bearings) were misclassified
  • 258 7-digit parts were missing the SM suffix

What the Investigation Revealed

  1. The XX.XXXX format parts have actual photos in GCS

    • Example: 06.0043 has a photo at gs://crop_parts/ct/bns/06.0043/gallery/06.0043-1.jpg
    • Clinton Tractor's team photographed these and labeled them as B&S
  2. Only 6 of 1314 parts have photos - most were bulk-imported

    • Created: 2025-11-28 at 19:42:40 (all at once)
    • Photos were matched to parts later via mac-studio-upload discovery
  3. Even "valid" B&S parts only have ~66% DIS coverage

    • This is NORMAL for a single dealer's inventory
    • Dealers don't stock every part from a manufacturer's catalog

Data Origin

All 1,314 parts came from:

  • Source: mac-studio-upload
  • Uploader: ct-photo-team (Clinton Tractor photo team)
  • Period: November-December 2025
  • Manufacturer field: All have manufacturer: "Briggs & Stratton"

These parts were discovered through photos uploaded from GCS storage. The part numbers come from folder names in the GCS bucket structure.

Detailed Analysis

1. Valid B&S Suffix Parts (498 parts) - 66% found

Parts ending with recognized B&S suffixes:

  • SM (Snapper/Murray OEM)
  • YP (Yard Products)
  • S (Standard)
  • GS, FS (other B&S designations)

Why only 66% found?

  • Discontinued parts
  • Parts dealer doesn't carry
  • Special order only items
  • This is NORMAL for dealer inventory systems

Examples found:

2. 5-6 Digit Parts (236 parts) - 89% found

These appear to be valid B&S part numbers that don't require a suffix.

Examples found:

271412 -> $1.14
393397 -> $10.19
394682 -> $11.35

3. 7-Digit Parts (258 parts) - 3% as-is, 20% with SM

The most problematic category. Most 7-digit parts are NOT found.

Testing results:

  • Without suffix: 8/258 found (3%)
  • With SM added: 51/258 found (20%)

Examples where SM helps:

1717050   -> NOT FOUND
1717050SM -> FOUND ($19.70)

Examples where even SM doesn't help:

Conclusion: Only ~51 of 258 7-digit parts can be fixed by adding SM suffix. The rest (~200) simply don't exist in DIS.

4. X+Number Suffix Parts (54 parts) - 13% found

Format like 5020843X2, 5022042X3. The X number likely indicates quantity in pack.

Some found as-is:

5022042X3 -> $35.56
5025214X8 -> $7.10
5025299X4 -> $3.73

Most NOT found - possibly internal/kit part numbers.

5. XX.XXXX Format (74 parts) - 0% found - NOT B&S!

These are definitely NOT Briggs & Stratton parts!

Pattern: Two-digit prefix + dot + digits (European format)

Not found under ANY manufacturer tested (B&S, Krone, Kuhn, NHL).

Likely source: Misidentified during photo upload, or parts from a different manufacturer that were photographed alongside B&S parts.

6. Industrial Bearings (3 parts) - 0% found - NOT B&S!

Definitely NOT Briggs & Stratton parts!

6205-VSP25  - Ball bearing format
KJ-6011     - Bearing designation
NJ-6004     - Bearing designation

These are standard industrial bearings (6205 is a common bearing size). They were incorrectly placed in the B&S folder during photo upload.

7. Other Patterns (191 parts) - 52% found

Mixed patterns including:

  • Dash-separated numbers: 396-726, 396-727
  • Long numeric: 504081533, 102409501
  • Various alphanumeric

Root Cause Analysis

The "Not in DIS" issue is caused by multiple factors:

DO NOT MAKE CHANGES TO PART NUMBERS

After thorough investigation, the recommendation is to NOT modify any part numbers:

  1. The data came from Clinton Tractor's team - they are the authority on what they photographed
  2. "Not in DIS" is expected - dealers don't stock 100% of any manufacturer's catalog
  3. Changing part numbers could break GCS/photo matching - the folder structure uses these exact part numbers

Accept Current State

The ~50% "Not in DIS" rate for BNS parts is normal because:

  • Discontinued parts remain in catalogs
  • Special order items aren't in dealer inventory
  • Aftermarket/replacement parts used with B&S equipment
  • Low-demand parts not stocked

UI/UX Improvement (Optional)

Instead of trying to "fix" the data, consider improving how we display this information:

  • Change "Not in DIS" label to "Not in Dealer Inventory"
  • Add tooltip explaining this is normal
  • Consider separate status for "Discontinued" vs "Not Stocked"

Important Caveat

Before making ANY changes, consider:

  1. The part numbers came from photo folder names in GCS
  2. If we change DB, but GCS folder names are the source of truth, the issue will recur
  3. Need to fix at source (GCS folder naming) or accept the discrepancy
